Supplier Relations Senior Coordinator

 

Role

 

The Supplier Relations Senior Coordinator will report directly to the Supplier Relations Manager. Their role is ensuring logistics, shipping, delivery and customs clearance meet company standards and adhere to legal requirements for PGA groups, CBP & CBSA. They will manage regulatory compliance and remain up to date and implement changes where necessary for our product classifications. They will also monitor and collaborate with vendors and suppliers to ensure optimal production and on time delivery.

 

 

Key Responsibilities

  • Requesting FDA registration details for new suppliers and check with existing suppliers if FDA registration is complete for the following calendar year.
  • Verify FDA registration details is correct on FDA site and as per the rules indicated by CBP.
  • Monitoring FDA & GUDID site for new regulations for Class 1 Devices.
  • Conduct research and remain up to date regulations for all PGA groups that governs our products.
  • Update internal departments on new rules and the impact on the company.
  • Review regulatory requirements for new products such as POP.
  • Monitor shipments in transit via, air, ocean, truck, courier.
  • Request and review quotes from multiple agents.
  • Provide supplier with ship method depending on the weight and dimensions of shipment.
  • Review all documents received for goods in transit is accurate for customs clearance.
  • Provide suppliers with correct terminology to indicate on shipping documents for customs clearance.
  • Resolve any document errors with customs broker.
  • Fill out necessary paperwork for customs clearance and provide details to broker.
  • Provide broker with images, material content for products in transit under review by customs.
  • Monitor all pre-alerts are received from forwarder and keep track of all shipments in transit  
  • Find solutions for delayed shipments and find different avenues to ship goods from place of origin.
  • Monitor shipments in transit stay on schedule and deliver on time as per the ETA to both warehouses.
  • Work with freight contacts to resolve any missing cartons, cartons shipped to incorrect locations or lost cartons.
  • Negotiate cost with freight forwarder for shipping errors.
  • Create claims for lost shipments and follow up with agent to ensure we receive payment.
  • Monitor all shipments delivered globally to both warehouses are received in a timely manner.
  • Follow up with receivers for outstanding shipments that have been sitting in the warehouse for a few days.
  • Work with warehouse receivers to prioritize which supplier shipments to receive first and pass on to QC. This is based on demand and backorder status.
  • Resolve incorrect delivery issues
  • Work with receiver to resolve errors in the shipment. Such as damaged cargo, incorrect quantity color errors, UPC, wrong PO, packing slip, model number, sku in the shipment.
  • Communicate supplier-based errors to the supplier.
  • Ensure all returns are received, the frames are buffed, and the credit is created. Email notification is sent to all parties involved confirming receipt in Syspro of WGUSA return.
  • Monitor Purchase orders are received in Syspro accurately within a timely manner.
  • Fix all PO receiving errors in Syspro due to data entry errors.
  • Verify all documents being submitted to accounting are accurate and match GRN receiving in Syspro.
  • Answer any questions from accounting department in regards to supplier invoices, debits, credits and RTV’s.
  • Submit export documents for returning shipments.
  • Review freight cost and determine best ship method based on cost and demand of product.
  • Find correct tariff codes for new POP.POS items importing & export to USA & Canada
  • Verify export documents for returning shipments to customs broker is submitted with accurate information.
  • Participate in Web Seminars with brokerage firms and learn about the new customs rules, regulations being implemented by both USA & Canada agencies.
  • Notify suppliers of new CBP & CBSA regulations and provide them with details required to import into USA & Canada.
  • ACE report review weekly post Entry Summaries for errors.
  • Notify brokers of post entry errors and request resubmission of documents to customs.

 

Successful candidates will have  

  • Bachelor's Degree or equivalent experience highly preferred
  • CITT and/or CIFFA certifications considered an asset
  • Minimum 3 Plus years of international freight forwarding experience or working in a logistics environment.
  • Previous Freight Forwarding Experience is an asset
  • Current knowledge of international ocean/ air import/Export rules and regulations
  • Canada & USA Customs experience is an asset
  • Knowledge of harmonized classification is required
  • Strong organizational and problem-solving skills with analytic approach
  • Strong knowledge of computer skills (MS Outlook, Word, Excel)
  • Ability to multitask.
  • Ability to prioritize and organize work effectively.
  • Strong attention to detail
  • Experience in managing third-party logistics providers
  • Ability to interpret and act upon complex instructions
  • Accustomed to working in a fast-paced, dynamic environment
